Microsoft Outlook is an integrated program in the Microsoft Office suite. Outlook is considered an email client, but the program is actually a personal information manager, which helps in organizing mails & messages, contacts, calendar events and task reminders.

You may have been using Microsoft Outlook for a long time, and have stored many important data through the program. Therefore, you may be in for a bit of a hassle if you were to upgrade to a new computer where these files would not be saved onto the hard drive. You may be wondering if there is any way to back up all your stored data through Outlook, and move it to a newer one.

Yes, there is a way!

Outlook email setup prompts the program to manage your mails & messages. It stores all the data in a particular format known as PST files. Below are the points to help you backup PST files, and copy it to another computer. And it does not require an expert technical knowledge to do that. Just follow the set of instructions and move on to a new computer.

Copying the PST file

Close the Microsoft Outlook program on your computer, if running.

Go to the desktop on your computer, and click on the “Start” button and select “Control Panel” from the “Start” menu.

Select “Mails” in the Control panel window and click on “Show Profiles.” Highlight the profile to be backed up & moved, and click on “Properties.”

Opt for “Data Files” and click on “Personal folders service.” Select “Settings” to view the path of the PST file. Note the location of the PST file.

Open Windows Explorer and go to the folder containing the PST file as noted in the earlier step. Connect a USB flash dive to the computer and copy the PST file onto it.

           Email setup in Outlook

Moving the data

Connect the USB drive with the PST file on the new computer, and transfer the data to the fresh Outlook profile.

Copy the backed up PST file on the desktop of your new computer.

Launch the Microsoft Outlook program on the new computer. Click “File” and select “Import and Export” from the resulting menu. Select “Next” and continue with “Personal Folder File.”

Browse for the PST file saved on your desktop and select “Next.” Choose the highest option for import, to move all the data contained in the PST file.

Select “Finish” and begin importing of the data, files & settings to Outlook installed on the new computer.

The new Outlook program will have your customized profile, and you can proceed with Outlook email setup to start using the program.

An email client is an application that lets you to download mails from your webmail. The major advantage of an email client is that you can view your downloaded mails at any time even if you don’t have internet access. Microsoft Outlook is one of the email clients of Microsoft, which comes with the Microsoft Office suite package. This famous email client from Microsoft is liked by millions. However, sometimes Outlook can get you in trouble. You may be trying to download some important mails from your webmail and you get error messages from Outlook. So how to fix this issue? Well, we have listed down the steps below to fix this issue.

Steps involved

The error can occur due to a bad Outlook email setup. So, start Microsoft Outlook and then from the ‘Tools’ menu select ‘Account Settings’. Click on the ‘Email’ tab and you will see the list of email accounts configured on your Outlook. Double click on the email account that is giving you trouble.

Now you have email settings window opened. Double-check your settings. Make sure you have typed in the correct email address and password. Retype your password. Check the ‘Incoming’ and ‘Outgoing’ mail servers. If you are not sure of the servers, contact your service provider to get the correct server information.

            Outlook email support

Click on the ‘More Settings’ tab and then the ‘Advanced’ tab. Here you have the boxes to type in your incoming and outgoing port numbers. Make sure you have made the correct entries. As in case of the email servers, get in touch with your service provider to get the correct port numbers. Also, check the box ‘Leave a copy of message on the server’. This helps us to ensure that a backup copy of email messages is on the server and they are not deleted from it. Now click on ‘OK’ and then choose the tab ‘Test Account Settings’. If everything is working fine, you will receive a test email.

If the above steps do not fix the issue, the email servers might be the culprit. Occasionally an email server can give you errors and may stop the delivery of your emails. To verify this, contact your email provider or log in to your email account and you will be notified about this temporary error by your email provider.

Most Outlook errors are temporary and related to changes in the settings. So be very careful when you do an Outlook email setup to avoid these errors.

Do you know that in Outlook, you can set up automatic messages called out of office replies, which will send automatic replies when you are unavailable? With this interesting feature enabled, Outlook will send these replies to the email sender, when you are out of station or unavailable for a specified period of time. However, you can avail this option only if you have an exchange server on your network. Your automatic reply can include your contact information as well as extra information regarding how long you will be out of reach.

Go through the below steps to set up an automatic message in Outlook.

Instructions

In order to set up automatic out-of-office reply, you must turn this feature on in your Outlook. Launch your Outlook program and navigate to ‘Tools’ from the Menu bar. Choose the Out of Office Assistant option. You will see a dialogue box. Choose the option, ‘I am currently Out of the Office’. Ensure that you change the AutoReply setting to ‘Once per Sender’. You can now add the custom message you wish to send.

In your custom message, include details like your contact number, how long you will be out of station, and who can be contacted in your stead. Once you are done giving the detailed information in the custom message, click on ‘OK’ to continue.

        Enabling autoreply in outlook

You can make use of this ‘Out-of-Office Assistant’ whenever you are away. You have the option to set up this feature for a long period of time too. By enabling this feature in your Email, you will let your recipient know that his/her emails are replied to instantly due to your inability to check the emails on time. They can also get the information on when to contact you upon your arrival, or the details of the person who’ll take your messages.

Ensure that you turn off Out-of-Office Assistant upon your arrival. To disable this feature, go to Outlook email setup by launching Outlook. Once Outlook is launched, navigate to ‘Tools’ from the menu bar, and choose Out of Office Assistant. When the dialogue box is displayed, unselect ‘I am currently Out of the Office’. Click on ‘OK’ to confirm your selection.

With the above listed instructions and steps, users will be able to set up an Out of Office Reply in Microsoft Outlook. If you are unsure of any of the steps, don’t make any changes in the Outlook email setup. Get the assistance of an expert.

One of the greatest features of E-mail programs today is their ability to attach music, pictures and other items and send it to a receiver stationed any distance away. If all they had to send were small files, then users might not face any trouble. But in cases where larger files or .exe files are to be attached, unless the user is a pro at troubleshooting, sending an email can be quite difficult. Here are a few Outlook Email setup and attachment tips to help you in this endeavour.

Executable Files

Email providers usually don’t allow the user to attach executable files (.exe) to the email. This is mainly because of an inbuilt security feature that prevents a user from downloading a malicious application or a virus. These viruses can wreak havoc on your system and leak your personal files. But if a user does want to send an exe file, then getting a virtual server is the best option. Using websites like rackspace.com or hotgator.com, users can compress their application and send it to other users.

File Size

Most Email providers limit the size of files that can be sent as attachments. The maximum that Email providers such as Hotmail and Yahoo allow is 10 MB. This will drastically limit the amount of data you can send to another user. Most of these emails, when sent, come back to the user as undelivered. To overcome this protocol, either compress the files into a .zip format, or send multiple files from multiple email addresses.

Outlook programs

Sending Email more than 10 MB

One of the most popular Email clients is Microsoft Outlook. To send an attachment through Outlook, first follow the Outlook Email setup procedure as given below:

Make sure the email account won’t separate the attachments before sending them. Receivers who do not have the option to reassemble the file will view the message as garbage.

Also make sure the email option is set to HTML, which will enable the insertion of images, movie clips and music into the email.

Troubleshooting guide

Make sure that you have read through the user manual or forums that are related to the Email service you are using. Usually, these services will be having FAQ answers which the user might find helpful.

Users will find most of these tips helpful and now will be able to fix issues that may arise, with the efficiency required to finish the job within minimum time.

Microsoft Office Outlook is the default email client used by all to send and receive emails. In addition to the email facility, it also includes a calendar, task manager etc. It is compatible with both the Windows and Mac operating system.

Outlook comes with an application that allows users to access their email from anywhere when they are connected to the Internet. This application also enables you to use the various options in Outlook for setting up email forwarding to access your email always. Even though you can easily forward your emails anywhere, it is better to utilize the Microsoft Office Outlook Web Access application to forward your emails in a fast manner.

Steps for Outlook email setup

The following steps will guide you to set up email forwarding using Outlook Web Access.

Launch Internet Explorer first and enter the web address in the address bar to start Outlook Web Access and hit Enter. Please contact your IT Team for information regarding web access if you are under a corporate or restricted network.

Once the login screen pops up, login with your username and password to access Outlook Web Access.

Outlook Web Application features

From the right upper corner of Outlook Web Access, select “Options” and then hit the “Rules” link towards left.

A new window will be opened once you choose the “New rule” and then “Create a new rule for arriving messages.”

Press the link that says “Forward or redirect…” below the “Do the following…” option from right. It will give out options like “Forward to people or distribution lists” or “Redirect to people or distribution lists.”

Select the option that suits your needs and use the forwarding option to get an email copy on your inbox.

From the left-hand panel, select “people or distribution lists” link to launch another window. You can choose the respective person from contacts list whom you wish to send the email or you can directly fill out the “To” address field from the bottom. Press “OK” to complete the process.

You can save and activate the email forwarding by selecting “Save“.

Since you do not wish to miss out the important mails when you are out of reach, you can use the Outlook email setup feature to stay connected with your contacts from anywhere at any time. Why miss out the important mails again when you have the tool in your hand to access it? You can follow the above steps to activate the email forwarding yourselves without contacting Microsoft support.

Are you dreaming of setting up your own professional email address? Well, with Outlook.com, you can now very easily set up one with your business name. Just follow the simple Outlook email setup instructions below, and get your own business email.

Get your domain mail service

Navigate to Windows Live Admin Centre and choose Get Started.

On the next screen, enter your existing Microsoft account or create a new one. This account is used to manage the domain and it needs to be an active or valid one as you will get verification mail from Microsoft to check this account.

If you have chosen an existing Microsoft account, then sign in. If you want a new account, fill up the details on the form provided.

Wait for the verification email. To verify your email address, click on the link provided in the email.

Validate your requests and agree to the Microsoft’s terms and conditions.

Configure MX and TXT records

Next step is to configure the MX and TXT records. MX records inform the domain servers that you make use of mail servers from Microsoft. The ownership of the domain is checked by the TXT records. For this, edit your DNS settings and enter the MX and TXT strings to it. You can find the strings on the domain control page in the Admin Centre.

WordPress hosting providers usually utilize cpanel for account administration. If you are not familiar with the new interface, look for the Domain Settings page. Here you are provided with the options to edit the DNS settings or add MX records. Please get help from your web host if you still cannot find them.

                 Email Setup tips

Create your Business Email Accounts

Choose your domain from the Admin Center. Choose the options on the left pane of the window to handle the different accounts. The Open Membership option allows the users to sign up with your domain name. There are other options to create different email accounts for your relatives, staffs or friends. Since you are the administrator of the account, you have the option to delete any account from your domain.

That’s it! Just like an Outlook email setup, you have successfully created your own professional email account with your business name on it. With this new professional email address, you can now brand your business and your products.
